Submission

In past awards events we accepted slide trays. In order to streamline the process of organizing material, all submittals must be in digital format. Think of it as slides that are transferred to a format that can be shown on the internet, shared and distributed much more widely than the old slides sitting in a tray.

We encourage traditional hand drawn documents and images to also be submitted. The only difference is that they will need to be scanned rather than photographed onto slides.

How to Prepare the Submittal Material

Applicants must transfer all photographs and slides into digital format. Transferring of hard copy images to digital format can be accomplished by any reprographics company providing such services.
Questions concerning these requirements will be answered in the FAQ section and can be posted with the question form in that section.
Text Files
Project Descriptive Information Form, Project and Image Identification Form, Firm/Project Identification Form, and a Release Form for images submitted. These Word documents will be provided to entrants upon receipt of the fees.
Preparation
Files have to be formatted and named according to these Guidelines.
Submittal
The files can be uploaded to our server on this Site OR copied to a CD and mailed to the Chapter office.
Upload
The files can be uploaded individually or in one or more archive folders. It is recommended to compress the files and/or folders as archives (.zip- / .ace- / .sit- archives). The files can be uploaded in one or multiple sessions. No upload larger than 18Mb is permitted in one upload session.

The Venue

Since we are Architects, the venue for displaying the awards material will have a strong focus on design and place. We will use the web site as a tool to collect all awards material both in the standard categories and the new Digital Architecture category. In addition to the standard web pages, a virtual 3D gallery space will be created to display both the images submitted for the awards and the new material submitted for the Digital Category.

Copyright and Right To Use

All images and material submitted will be posted on a public web site. Owners of the images and material must warrant that they are the rightful owners. Submittals must include a release to publish the material on the Awards web site for a period of up to two years.

Prior to and during the judging, all material will remain anonymous. No identifying marks or logos may be included in the submitted material.

After judging, the material will be identified by the office or individual’s name who submitted material for the awards. This will remain on the ‘Out of Box – P&F AIA Awards" web site for a period of up to two years from September 2002.
